Senior Project Manager / Client Operations Lead responsible for end-to-end management of paid media campaign operations across a portfolio of accounts for a specialized digital advertising agency. This role maintains workflow integrity, enforces deadlines, and ensures smooth scaling without burnout by owning processes, capacity planning, client communications, and internal systems.
Key Responsibilities
- Own the full ClickUp campaign workflow for every active account, from planning and strategy through client approval and launch
- Manage client communication and approval cycles, including recurring calls, decision capture, design direction submissions, revisions, and final sign-off
- Groom sprint capacity, protect billable hours, flag overload risks, and identify process friction patterns to prevent missed deadlines or team burnout
- Maintain and extend operational templates, ensure ClickUp integrity through automations and status accuracy, and document communication models for transferability
- Run Swell huddles, onboard new team members and freelancers, and partner with the Ads Team Lead and Director of Agency Services on team and cross-team operations
- Run Level 10 meetings, own a scorecard, commit to quarterly Rocks, and address Issues List items while supporting an AI-forward operating model
Qualifications
- 4+ years of multi-account project or operations management experience inside an agency, ideally in paid media or digital marketing
- Working knowledge of paid campaign build and launch processes, including launch readiness checklists
- Strong proficiency in ClickUp or equivalent fluency in Asana, Basecamp, or Trello with willingness to migrate
- Demonstrated ability to build or rebuild processes through templates, automations, and documented workflows rather than merely executing existing ones
- Direct, concise written communication skills with track record of delivering status updates or firm decisions clearly
- Pattern recognition for capacity risk and early identification of teammate overload
- Bonus: EOS, Traction, or ScalingUp experience; reporting tool familiarity; AI tool comfort for daily workflows; client or team onboarding experience into structured systems
