Vasion seeks a strategic Executive Assistant for Go-To-Market initiatives to support the CRO and CMO, driving operational efficiency and performance as the company scales revenue from $100M to $200M ARR in a high-growth SaaS environment.

Key Responsibilities

  • Establish and manage the comprehensive calendar structure for monthly, quarterly, and annual activities involving the CRO, CMO, and GTM leadership, aligning with global events, fiscal periods, and planning cycles to ensure optimal sequencing and execution of key forums like QBRs and sync meetings.
  • Oversee the complete performance review process for direct reports under the CRO and CMO, including timeline communications, documentation distribution, and rigorous follow-up in BambooHR, while scheduling quarterly check-ins and managing morale-related initiatives such as birthdays and anniversaries.
  • Track and govern MAPs for leaders in the CRO and CMO teams, identifying performance risks early, recognizing achievements, providing C-suite updates, and preparing quarterly AIM Award nominations.
  • Ensure training compliance across Sales and Marketing teams via WorkRamp, monitoring dashboards, addressing delays with managers, coordinating with enablement teams, and reporting on progress regularly.
  • Prepare executives for board meetings by collaborating on agendas tied to business goals, conducting advance kickoffs, managing slide and talk track development, handling all logistics including travel and materials, and following up on actions.
  • Act as a central communication node for the CRO, CMO, and their teams, drafting and distributing internal updates, triaging requests, prioritizing executive focus, and maintaining clear information flow.
  • Utilize AI tools for automation in scheduling, documentation, and workflows to enhance operations, eliminate inefficiencies, develop systems like decision logs, and recommend improvements to the GTM model.
  • Handle core EA duties including multi-timezone calendar management, international travel arrangements, expense processing, meeting preparations with agendas and notes, and confidential information management.

Qualifications

  • Experience in a senior Executive Assistant, Business Manager, or Chief of Staff role within a fast-scaling B2B SaaS or tech firm, with deep knowledge of Go-To-Market functions.
  • Exceptional organizational skills with a systems-oriented mindset for process design and proactive problem-solving.
  • Initiative-driven approach, anticipating needs and acting independently without prompting.
  • Strong communication abilities across all levels, capable of crafting concise executive summaries, leading preparation sessions, and managing delicate personnel discussions.
  • Accountability focus, enforcing standards effectively while fostering a positive environment.
