Key Responsibilities
- Manage Monday.com and Notion boards, including templates for recurring projects like podcasts, videos, newsletters, and campaigns, while maintaining current statuses and resolving blockers.
- Operate the HubSpot email program, handling newsletters, nurture sequences, segmentation strategies, A/B tests, deliverability, and performance monitoring.
- Coordinate resource allocation for developers, designers, and QA teams, including scoping requests, briefing handoffs, and ensuring timely delivery for website updates and assets.
- Direct production workflows across content channels such as blog, email, podcast, YouTube, social, and gated assets, facilitating smooth transitions between idea and publication.
- Develop and implement workflow automations using tools like AirOps, Claude, Zapier, and HubSpot to streamline repetitive tasks.
- Oversee the website production pipeline in Webflow, publishing CMS content, briefing technical teams for complex updates, and performing QA.
- Maintain the marketing technology stack, ensuring integrations between HubSpot, Webflow, Monday.com, Notion, and analytics tools remain functional and documented.
- Generate and update reporting dashboards in DataBox, HubSpot, and Google Analytics, delivering weekly metrics on email, web, SEO, and content production.
- Establish and lead the operational cadence, including weekly status meetings, monthly audits, and quarterly workflow reviews.
Qualifications
- 3–6 years in marketing operations, email marketing, lifecycle marketing, or project coordination, with agency or studio experience preferred.
- Expertise in HubSpot for email management, including lists, segmentation, workflows, A/B testing, deliverability, and reporting.
- Proficiency in workflow automation tools such as AirOps, Zapier, Make, or n8n, with required interest in Claude and AI-driven automations.
- Advanced skills in Monday.com and Notion for building templates, automations, and dashboards.
- CMS-level proficiency in Webflow for publishing content and QA.
- Project management abilities focused on checklists, dependencies, and due dates, with strong attention to detail and calm under pressure.
- Self-motivated with proactive follow-through, comfortable in nudging teams and maintaining accountability.
- Operator mindset prioritizing system efficiency over creative execution; advanced English proficiency.
- Bachelor’s degree in Marketing, Communications, Business, Operations, or equivalent experience.
