Entry-level Marketing Administrative Assistant supporting a growing marketing team at a mid-sized accounting firm. The role focuses on coordinating gifting initiatives, events, CRM maintenance, proposal support, content creation, and administrative operations across multiple departments.
Key Responsibilities
- Coordinate client and employee gifting programs using sales data for reporting and recommendations
- Manage branded merchandise inventory, company store operations, and physical storage organization
- Support recruiting events, trade shows, and internal events with logistics, vendor communication, and setup
- Coordinate employee engagement programs and provide Culture Committee assistance
- Maintain and update HubSpot CRM data, including contact management, segmentation, and pipeline reporting
- Support proposal coordination and manage content within PandaDoc proposal software
- Process vendor communications, approvals, invoicing, and expenses through Bill.com and Expensify
- Create internal graphics, presentations, postcards, and marketing collateral
- Monitor marketing inboxes and route requests appropriately
Qualifications
- Bachelor’s Degree in Marketing, Communications or related field
- Proficient in Microsoft Office Suite, especially PowerPoint and Excel
- Strong attention to detail and proofreading skills
- Excellent writing, communication, and presentation abilities
- Strong organizational skills with ability to multitask and meet deadlines
- Positive attitude and strong interpersonal skills
- Alignment with firm values including honesty, continual learning, innovation, and teamwork
- HubSpot, Canva, PandaDoc, Bill.com, or Expensify experience preferred
