The Conference Coordinator manages company participation in regional and national conferences within the emergency management sector, including event research, logistics coordination, ROI tracking, and cross-team collaboration to ensure seamless execution and alignment with strategic goals.

Key Responsibilities

  • Coordinate participation in conferences, summits, and industry events, managing timelines, registrations, sponsorships, and exhibitor needs
  • Support booth setup, shipping, onsite logistics, and swag inventory management
  • Handle travel, accommodations, and coordination with marketing for materials and presentations
  • Maintain tracking tools, budgets, dashboards, and documentation for event details
  • Monitor ROI, attendance, and engagement metrics, creating guideline materials and training resources
  • Act as central contact for marketing, operations, leadership, and attendees, preparing speaker submissions and schedules
  • Conduct research on high-value events, industry associations, and sponsorship opportunities
  • Assist with content planning, outreach, and additional marketing/administrative duties

Qualifications

  • Knowledge of emergency management, disaster recovery, public health, and public-sector environments
  • Understanding of conference planning, sponsorships, exhibitor logistics, and speaker coordination
  • Proficiency in budget tracking, ROI measurement, and event metrics
  • Familiarity with industry associations, government entities, and compliance in emergency management
  • Strong project management for handling multiple events
  • Excellent written and verbal communication for submissions, briefings, and summaries
  • Research and analytical skills for evaluating opportunities
  • Cross-functional collaboration with marketing, operations, and leadership
  • Organizational skills for timelines, vendor management, travel, and exhibits
  • Ability to manage risks, adapt to deadlines, synthesize insights for business growth, and represent the organization professionally
  • Bachelor’s degree in Event Management, Marketing, Communications, Business, or related field, or equivalent
  • 2+ years in event coordination, conference planning, marketing operations, or logistics
  • Experience managing multiple events with timelines and deliverables
  • 1+ years using tracking tools like Excel or Google Sheets
  • Preferred: 3-5 years supporting national conferences, high-volume portfolios, sponsorships, ROI reporting, speaker logistics, cross-functional work, and tools like Asana, Monday.com, Airtable, or Salesforce
